Review Data Backup Checklist
Protect the social proof assets that took years to build
Your review data represents thousands of dollars in customer acquisition value. Each review is a piece of social proof that helps convert future customers, and losing reviews means losing the trust signals your store relies on.
This checklist ensures your review data is properly backed up, verified, and recoverable. Whether you are preparing for a migration, switching review apps, or just practicing good data hygiene, these steps protect your most valuable UGC assets.
Data Inventory and Export
Identify every location where reviews exist: your review app, imported reviews, social media reviews, and marketplace feedback.
Export all reviews as CSV or JSON with complete metadata: rating, text, author, date, product ID, photos, videos, and response.
Download all customer-uploaded photos and videos. URLs alone are not backups because they break when you switch platforms.
Back up merchant responses to reviews and any Q&A content. These add context and value to your review data.
Screenshot or export your current review app settings, widget configurations, email templates, and automation rules.
Verification and Quality
Compare the number of exported reviews against your app dashboard totals. Discrepancies indicate missed data.
Randomly select 20-30 reviews and verify all fields exported correctly, including special characters and emoji.
Open a sample of exported photos and videos to confirm they are not corrupted. Check file sizes for obvious issues.
Confirm that each review maps to the correct product. Broken associations make reviews useless after import.
Storage and Redundancy
Save exports to at least two locations: cloud storage (Google Drive, Dropbox, S3) and a local drive. One copy is not a backup.
Name backup files with dates and include a changelog. Knowing when each backup was taken matters during recovery.
Schedule monthly or quarterly review data exports. Automate if your review platform supports it.
If backups contain customer email addresses or personal data, encrypt the files to comply with privacy regulations.
Recovery Planning
Import a subset of backed-up reviews into a test environment to verify the backup is actually usable for recovery.
Write step-by-step instructions for restoring reviews from backup. Include import format requirements and field mappings.
Define how much review data loss is acceptable (1 day, 1 week, 1 month) and set your backup frequency accordingly.
Designate a team member responsible for maintaining the backup schedule and verifying backup integrity.
